Zapier is the right tool when you know exactly what should happen between two apps: 9,000+ integrations, one task per step, from $19.99. Creao AI is the right tool when the work needs judgment, such as research or drafting, and you want the run saved as an agent; budget $50 a month for scheduled runs. Caveat: Zapier is folding Zapier Agents into AI by Zapier.

Prices, limits and feature claims come from Zapier’s pricing page and help center and from Creao’s pricing page and documentation, all checked on October 3, 2026. Where one vendor describes the other, we say so and check it against the other vendor’s own pages. Unit costs are our arithmetic and are labeled. What is the difference between Creao AI and Zapier?

Creao AI and Zapier automate work from opposite ends. Zapier is a workflow tool: you define a trigger and a chain of actions, and every run does the same thing across whichever of its 9,000+ apps you connect. Creao AI (creao.ai, also written CREAO) is an agent platform: you describe a job in chat, an AI agent works it out, and a run that succeeds can be saved as an agent with inputs, version history and a shareable install link. Zapier’s own community draws the line this way: if the outcome must always be predictable, use a Zap; if the task needs interpretation, use an agent. Creao says the same from the other side, calling Zapier “the plumbing” and itself the place “where the work happens.” Both descriptions are fair. One note before comparing: Creao AI is not Creatio, Creo or CrewAI, three products that search engines substitute for it.

What is happening to Zapier Agents?

Zapier is moving Zapier Agents into AI by Zapier, a step that runs inside the Zap editor. Every Zapier Agents help article we opened, all updated on October 1, 2026, now opens with the same notice: “Zapier is moving Agents to AI by Zapier.” The migration article adds that “Zapier has not set a date to turn off Agents yet” and that affected users will be emailed before anything changes. Migration is automatic: an agent becomes a Zap with a native trigger step and a single AI by Zapier step that carries the original prompt, tools and reasoning, and the two can run side by side until the original agent is disabled.

The part that matters for buyers is billing. After migration, Zapier says, “You no longer manage a separate Agents subscription or add-on fees.” Agent work is then measured in Zap tasks multiplied by a model tier, and AI by Zapier is unavailable on Free plans. Read together, those two help articles mean the standalone product’s free 400 activities a month would disappear once Agents is switched off, and agent steps would need a paid Zaps plan from $19.99 a month billed annually. Zapier has not announced that consequence itself; it follows from the two pages. Creao’s comparison page, and every third-party review we found, still describes Zapier Agents as a separate product.

How do Creao AI and Zapier prices compare?

Creao AI and Zapier both start at about $20 a month, but the plans meter different things, so the comparison only works plan by plan. Zapier sells Zaps by tasks per month and sells Agents, for now, as a separate add-on billed in activities.

Two things stand out. Zapier’s cheapest scheduled Zap is $19.99 a month on Professional, because Schedule by Zapier is not on the Free plan; Creao’s cheapest scheduled run is $50, because scheduling starts at Pro Plus. Zapier still has the only usable free tier for recurring work: a Free Zap can run on an app trigger (100 tasks a month, two steps) and a Free standalone Agent can run on a schedule (400 activities a month), against Creao’s one-time 30 credits plus 5 a day. How does each one charge for work?

Zapier charges per step and Creao AI charges per token, which is the real difference in what a month costs. In Zapier, “a task is any successful action that runs in Zapier.” Triggers, filters, paths, formatters and delays never count, so a Zap with four action steps costs four tasks per run and the bill is predictable to the task. The agent side is less fixed: today a Zapier Agent spends one activity per trigger, knowledge lookup, action, web browse, web search or Chrome-extension message, and after migration an AI by Zapier step costs “(1 × model rate) + (number of tool calls × model rate),” with tiers of 1× for Standard models, 3× for Advanced and 5× for Premium. New steps on paid plans default to Premium. Creao bills credits “based on actual token usage”: about 0.1 to 1 credit per message on economy models, 1 to 6 on standard models such as the default Claude Sonnet 5.5, and 5 to 40 on premium models, with a 0.1-credit minimum per scheduled run.

Put in unit terms by our arithmetic, which are not comparable but give a sense of scale: a Zapier Professional task is about $0.027 on annual billing at the 750-task tier, a Zapier Agents Pro activity about $0.022, and a Creao Pro credit $0.10, or $0.15 bought as a top-up. A Creao run is usually several messages, so a run is more than a credit. If you need to know the bill before you run something, Zapier’s Zaps are the only option here that can tell you.

Which connects to more of your apps?

Zapier connects to more apps by a wide margin, and Creao concedes the point. Zapier’s agent page says agents “do work across 9,000+ apps.” Creao’s documentation lists 34 connectors in its skills and connectors table, including Gmail, Google Sheets, Docs, Drive and Calendar, Outlook, Microsoft Teams, Slack, Notion, Linear, Asana, GitHub, Shopify, eBay, Webflow, YouTube and X; its docs index summarizes them as “28+,” and the pricing page’s FAQ claims “100+ native connectors,” a figure neither docs page reflects, so we use the documented table. Creao’s own comparison page writes that “nothing comes close on connector breadth” and hands one scenario to Zapier outright: “A form submission that creates a row in Airtable and sends a Slack message” is, in Creao’s words, “exactly the job Zapier was built for and it does it better than anything.” Neither Airtable nor a form tool appears in Creao’s connector list, which makes the concession a practical one. Creao’s workarounds for a missing integration are its hosted browser, covered below, a Pipedream connector and, per its pricing FAQ, custom connectors.

Can both run on a schedule and on triggers?

Both can run on a schedule, and both gate it by plan, though Zapier’s gate is lower. A standalone Zapier Agent can use a Schedule by Zapier trigger, an app trigger such as a new Gmail message, a new Sheets row or a Slack message, a Zap step or a Zapier MCP server on any Agents tier, including Free. A Zap can use Schedule by Zapier only on Professional and above, from $19.99 a month billed annually; on Free, Zaps run on app triggers only. Creao AI schedules run daily, weekly, monthly or on a custom cron with runs at least five minutes apart, but its docs state that “scheduled runs require Pro Plus or higher,” which is $50 a month or $40 billed annually. On Free and Pro a schedule can be saved but does not execute. Creao’s other entry points are an API trigger, which its FAQ says works on every plan including Free and is paid for in credits, and a Slack app released in September 2026 that can route mentions to a default agent; an inbound webhook trigger is advertised on Creao’s homepage but not documented, so we do not count it. When Creao credits run out, scheduled runs are skipped rather than failed and the schedule pauses after two skips.

Which is safer for actions that send or delete?

Creao AI has the more structured safety control on paper, but it is off by default, and Zapier’s is improving with the migration. Creao’s docs classify every tool call to a connected service as read, write or destructive. Read calls always run. Write and destructive calls follow a per-agent autonomy toggle with two settings, “Ask first” and “Auto,” and Auto is the default: write actions “execute immediately without pausing for approval,” with a record kept for audit. In Ask first the agent pauses and shows an approve-or-reject card with a preview of what will be sent; on runs started from the API, CLI or Slack, where there is no chat to show a card, an Ask first agent refuses write actions and logs each one as blocked. So switch the mode before an agent touches email. In Zapier Agents today, approval is a matter of instructions: you write a sentence such as “ask for my confirmation through [messaging app] before continuing to the next instructions,” and the agent uses a messaging action to wait. A Zap can also place a Human in the Loop step after an agent. AI by Zapier, the migration target, adds a per-tool toggle, “Require approval before running,” recommended for tools that create, update or delete data. Both sides draw the same line: Creao says to use Zapier when “you know exactly what should happen,” and a Zapier Community partner puts it as “If the outcome must always be predictable, use a Zap.”

What can each one do that the other cannot?

Creao AI’s edge is doing the work itself; Zapier’s is doing it reliably across everything. Creao documents four things Zapier does not: a hosted browser that keeps you logged in to sites such as LinkedIn, Instagram and X, with residential proxies and, per Creao’s docs index and homepage, CAPTCHA solving, in sessions that expire after 15 minutes; memory that is “shared across all your conversations,” plus a profile it calls Dream, refreshed once a day according to its homepage; video, image and voice generation inside the same workflow; and a Linux sandbox per thread for code. Zapier documents things Creao does not: deterministic multi-step workflows across 9,000+ apps with a fixed task price, Zapier Tables as a durable store (Zapier’s own suggestion for agent memory, since its agents “do not have persistent memory between” sessions), Zapier MCP for giving ChatGPT, Claude or Cursor access to those apps at two tasks per call, and a polling interval down to one minute on Team. Zapier’s agent browsing covers public pages and search; The Rundown’s review notes it cannot sign in to a site without a configured app action.

What do users say about Zapier and Creao AI?

Zapier has a long public record and Creao AI barely has one, and neither record is about agents specifically. Zapier scores 4.5 out of 5 on G2, from about 1,340 reviews on the comparison page we checked (G2’s product page shows more), and 1.3 out of 5 on Trustpilot from 321 reviews, 74% of them one-star; the Trustpilot complaints are about billing and support rather than features, with August 2026 reviewers describing charges without consent and an annual plan they could not exit. There is no separate G2 or Capterra rating for Zapier Agents, and Capterra’s listing shows zero reviews. Independent writers who have costed the product make the same two points: that 1,500 activities is “roughly 50 a day,” so “a busy agent exhausts a month in a fortnight,” and that a single business run “can consume many activities because every trigger, lookup, search, browse request, and app action may count separately.” Creao’s only public rating is 4.5 out of 5 on Product Hunt from 13 reviews written in late 2025 about an earlier version of the product; we found no Trustpilot profile for it. Can you use Creao AI and Zapier together?

Yes, and Creao recommends it, though it does not document how. The comparison page’s FAQ says “many users do,” with Zapier handling “the deterministic plumbing between existing SaaS tools” and Creao running “the agents that do work the plumbing can’t describe.” Creao’s docs list no Zapier connector, so in practice the join runs through Creao’s API trigger, which a Zap on Professional or above could call through Webhooks by Zapier, or through the Pipedream connector; neither is described by Creao as a Zapier integration. A simpler split needs no plumbing at all: Zaps for the rules you already know, a Creao agent for the weekly job that needs reading and writing.

Verdict: should you choose Creao AI or Zapier?

  • Choose Zapier if your automation is a rule between apps, if you need a fixed price per run, or if you want something that runs on its own for under $20 a month. It is also the only choice when the app you need is not among Creao’s 34 connectors.
  • Choose Creao AI if the job is research, drafting or a decision that cannot be written as if-this-then-that, if it must happen inside a site with no API, or if you want the result saved as an agent that remembers your preferences. Plan on Pro Plus at $50 if it has to run on a schedule.
  • Wait before paying for Zapier Agents on an annual term. Zapier has not set a shutdown date, but the product is being merged into AI by Zapier, and its free tier and separate pricing will not survive that merge as described.
  • Use both if your week has both kinds of work. Creao says so itself, and the pricing makes it cheap to find out: Zapier’s free tier and Creao’s 30 credits cost nothing.

Yes. Zapier Agents launched in 2025 as a separate product billed in activities, with a free tier of 400 activities a month. As of October 2026 Zapier is migrating Agents into AI by Zapier, a step inside the Zap editor that bills in tasks and is available only on paid Zaps plans. Zapier says no shutdown date has been set.

Is Creao AI a replacement for Zapier?

Not for app-to-app rules. Creao’s own comparison page says that for simple SaaS-to-SaaS automation where you know exactly what should happen, Zapier is still the right tool. Do you need a paid Zapier plan to use Zapier Agents?

Not today. Zapier’s pricing page lists Agents as an add-on with its own Free tier of 400 activities a month and a Pro tier at about $33.33 a month billed annually, with no paid Zaps plan required. After the migration to AI by Zapier, agent steps will need a Professional, Team or Enterprise Zaps plan, from $19.99 a month billed annually.

What counts as an activity in Zapier Agents?

Zapier defines an activity as any billable action an agent takes: using a trigger, answering from a knowledge source, running an action, browsing or scraping the web, a web search, or a message sent through the Chrome extension. Activities are separate from Zap tasks, do not roll over, and on the Free plan tests count too.

Which Creao AI plan do you need for scheduled runs?

Pro Plus, at $50 a month or $40 billed annually. Creao’s documentation states that scheduled runs require Pro Plus or higher; on Free and Pro you can save a schedule but it does not execute. Zapier’s standalone Agents can use a Schedule by Zapier trigger on the free tier; a scheduled Zap needs Professional, from $19.99 a month billed annually.

Is Creao AI the same as Creatio, Creo or CrewAI?

No. Creao AI (creao.ai, written CREAO) is a hosted no-code AI agent platform. Creatio is a CRM and workflow vendor, Creo is a design tool, and CrewAI is an open-source Python framework for developers. Search results for “Creao vs Zapier” often substitute those names, so check the domain before comparing prices.
